1. Introduction
Welcome to RollCounter (“we”, “our”, “us”). We respect your privacy and are committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, store, and protect information through the RollCounter mobile application (the “App”) and any related services (collectively, “Services”).
By using the App or Services, you agree to the collection and use of your information as described in this policy.
2. Information We Collect
We collect information in order to provide, maintain, and improve the App and Services. The types of information collected include:
a) Location Information
- The App requires access to your device’s location data.
- We use location data to confirm where “check-ins”, “head counts”, and “check-outs” occur.
- The location data helps ensure that the operations are performed at the correct geographic location (for safety, verification, compliance, auditing).
- We may collect location data even when the App is in the background (if you grant that permission).
- You may disable location access; however, the App’s core functionality (verifying check-ins, head counts, and check-outs with location confirmation) may not work properly without it.
b) Usage & Log Data
- We may automatically collect usage data (e.g. which features you use, time stamps, error logs, device identifiers, app version, etc.).
- We record the date and time of check-ins, counts, check-outs, and the associated location and user/staff identity.
c) Personal or Passenger Data
- You or your operators may import or enter passenger manifests or lists containing names, identifiers, contact information, booking or reservation data.
- When integrating with external reservation or booking systems (e.g. Rezdy, FareHarbor, Bookeo, etc.), we may receive and process passenger and booking data from those systems.
- We may store identifiers for wristbands, scanned tags, etc.
d) Device & Connectivity Information
- Device model, operating system, unique device identifiers (where permitted), Bluetooth status, network connectivity data.
- Offline cache: We support offline use, so data is stored locally on your device and later synchronized with our servers when connectivity is available.
3. How We Use Your Information
We use the information collected for the following purposes:
- To provide and maintain the App’s core functionality (checking in/out, head counts, location verification).
- To sync data across multiple devices and staff, enabling redundancy and consistency.
- To integrate and communicate with booking/reservation systems or other third-party systems as permitted.
- To improve, maintain, and enhance the App and Services (e.g. diagnostics, analytics, bug detection).
- To send you updates, notifications, or support messages.
- To comply with legal or regulatory obligations or auditing.
- To protect against misuse, fraud, or security issues.
4. Data Sharing and Disclosure
We may share or disclose your information in the following circumstances:
- With service providers and partners: We may share data with third parties who help us operate or maintain the App (e.g. hosting providers, analytics services, integrations with booking platforms).
- With system integrators: When you choose to integrate with external booking or reservation systems, we will exchange relevant data to support that integration (e.g. manifests, passenger data).
- For legal reasons: If required by law, subpoena, court order, or government request, or to protect our legal rights, users, or others.
- Business transfers: If we merge or are acquired, or in event of sale or transfer of assets, user data may be part of the transferred assets (with appropriate confidentiality safeguards).
- With your consent: In other contexts you authorize.
We will not sell your personal data to third parties.
5. Data Storage, Retention & Security
- Storage: We store data in secure servers. Local data stored on device is encrypted (to the extent feasible).
- Retention: We keep data only as long as necessary to deliver the Services, meet legal or regulatory obligations, or resolve disputes.
- Security measures: We use reasonable technical and organizational measures (e.g. encryption, access controls, secure transmission) to protect your data from unauthorized access, alteration, or destruction.
- Sync and backup: When internet connectivity is available, local data is safely synced to cloud servers to prevent data loss.
- Multiple devices: To allow redundancy, multiple devices can access the same data (with syncing).
6. Your Rights and Choices
Depending on your jurisdiction, you may have certain rights over your personal data, including:
- Access – You may request a copy of the personal data we hold about you.
- Correction – You may request corrections to inaccurate or incomplete data.
- Deletion – In some cases, you may ask us to delete your data (subject to legal or operational constraints).
- Restriction or objection – You may object to certain data processing (if applicable).
- Withdrawal of consent – Where processing is based on consent, you may withdraw that consent.
- Portability – You may request to receive your data in a structured, machine-readable format.
To exercise these rights, you can contact us at [contact email].
Please note: If you disable location permissions or delete certain data, the App’s functionality may become limited or non-functional.
7. Children’s Privacy
The App is not intended for children under [13 / 16 / relevant age in your jurisdiction]. We do not knowingly collect personally identifiable information from children. If you believe we have collected such data, please contact us to request deletion.
8. International Transfers
If you or your operations are outside the country in which our servers reside, your data may be transferred to, stored, and processed in other countries. By using the App, you consent to such transfers consistent with applicable law.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time (for example, to reflect changes in law or our operations). When we do, we will post the updated version here and update the “Last updated” date. If changes are material, we may notify you (via the App or email) before they take effect.
